Position Summary
The Medication Operations and Logistics Technician (MOLT) is detail-oriented and dependable and will support patient coordination and medication logistics operations. This role is integral to ensure the accurate handling, tracking, storage, and documentation of medications delivered onsite for patient care, while also supporting patient onboarding and care coordination activities. Given the high cost and sensitivity of many medications, strict adherence to manufacturer storage, handling, and packaging requirements is essential to prevent temperature excursions and product loss. This role requires a high level of attention to detail, accountability, and commitment to quality and compliance. This position involves data entry, inventory tracking, shipment coordination, audit-ready documentation, invoice reconciliation, and discrepancy resolution, as well as close collaboration with internal teams and external partners. The ideal candidate is organized, reliable, comfortable working with systems and documentation, and eager to learn. Comprehensive training will be provided.
Essential Duties and Responsibilities
Care Coordination & Patient Support
- Maintain and update patient records, ensuring accurate and timely data entry and document uploads into required systems.
- Support new patients onboarding and respond to general patient or clinic inquiries.
- Review schedules and records regularly to ensure completeness, accuracy, and compliance.
Medication Logistics & Inventory Management
- Coordinate inbound and outbound medication shipments, including temperature-sensitive products.
- Ensure proper storage, handling, and packaging of medications in accordance with manufacturer recommendations to prevent temperature excursions and maintain product integrity.
- Track and maintain inventory records for medications delivered onsite.
- Monitor medication movement from receipt through patient delivery.
- Assist with resolving routine shipping, courier, or delivery issues.
- Maintain strict attention to detail when handling high-cost medications to minimize risk of loss or waste.
Data Entry, Documentation & Compliance
- Perform consistent and accurate data entry related to patients, medications, shipments, and inventory.
- Maintain audit-ready documentation to support internal reviews, compliance checks, and external audits.
- Conduct routine data validation and reconciliation to ensure records align with physical inventory and shipment activity.
- Review and reconcile invoices against shipments, inventory records, and vendor documentation.
- Investigate and resolve discrepancies related to inventory, shipments, and billing in a timely manner.
- Support and participate in internal and external audits, including preparation of required documentation and responses.
Collaboration & Operations Support
- Collaborate with internal clinical, operations, and logistics teams to support efficient workflows.
- Communicate with external vendors, pharmacies, and couriers as needed.
- Support broader onboarding and operational initiatives as the program scales.
- Partner with leadership to identify process improvements that enhance compliance, accuracy, and operational efficiency.
QualificationsQualifications
- High school diploma or equivalent required; additional education or training in healthcare, logistics, administration, or data management is a plus.
- Strong attention to detail with proven organizational and time-management skills
- Comfortable with data entry, recordkeeping, and working across multiple digital systems.
- Ability to manage multiple tasks, meet deadlines, and adapt to changing priorities.
- Proficiency in basic computer applications (Microsoft Word, Excel); ability to learn new platforms quickly.
- Strong written and verbal communication skills
- Ability to handle sensitive and confidential information with professionalism and discretion.

Work Environment & Physical Requirements
- Ability to work in a fast-paced clinical environment with exposure to patients.
- Requires frequent standing, walking, and use of hands; occasional lifting of up to 25 pounds.
- Travel to outreach sites and between HEAL clinical locations may be required.
